Company Profile

Here you can manage your company profile.  It has various sections that will control your account - notifications settings, payment terms for example.  It also has sections that will be displayed in your directory entry.

If you need to change your address or company name for example, the change will NOT take effect until you have sent in proof of the change and it has been approved by Transport Exchange Group admin staff.  This is to protect all other members

***IMPORTANT***

It is very important that this section is kept up-to-date.  Your membership may be temporarily suspended if you have moved premises/home  and you have not informed us and provided proof of address. 

 

Contact Details

 First Name – The main contact’s first name

Last Name – The main contact’s surname

Country – the country of residence

County – the county of residence

Time Zone – the local Time Zone

Address – the trading address

Phone 1 –main telephone number

Phone 2 –secondary phone number

Fax – fax number (if you have one)

Email – main email address

Email 2 – secondary email address

Home location – your home town location – this is used for the directory searches and notification matches

 

Trading Details

Business Name – enter the legal business name if they have one

Trading As (if applicable) – if you use a ‘Trading As’ name, enter it here.  This is the name that will appear across the exchange including notifications.  However, your directory entry will show your Business Name and Trading As name together. 

Company Registration Number – enter the company registration number if you have one

VAT Number – Enter your VAT number if you have one

Operator’s Licence – Enter your O’licence number if you operate a vehicle larger than 7.5T.  This is required for Haulage Exchange members

Payment Terms – set your default payment terms are displayed here.  They can be changed as and when required when posting loads

 

***WARNING***

DO NOT POST LOADS WITH LOWER PAYMENT TERMS AND THEN CHANGE TO LONGER PAYMENT TERMS WHEN CONFIRMING THE BOOKING

WHEN YOU CONFIRM A BOOKING, YOU ARE LEGALLY BOUND BY THE PAYMENT TERMS.  FAILURE TO ADHERE TO YOUR TERMS ALLOWS THE OTHER PARTY TO SEND YOU A LATE PAYMENT CHARGE AND SUBMIT A LATE PAYMENT COMPLAINT AGAINST YOU, WHICH MAY RESULT IN TEMPORARY OR PERMANENT EXCLUSION FROM THE EXCHANGE.

Billing Address

We assume that your billing address is the same as your contact address.  If it is not, uncheck the box and amend the details accordingly

About

Enter details about your business.  You can add anything you like as long as it is truthful.  You can even add your own customer testimonials.

These details appear in your directory entry (Accreditation Overlay)

 

Notifications

Notification Radius

The notification radius in conjunction with your home location allows you to determine the area for which you will receive local load notifications.

Be realistic about how far you are prepared to a vehicle in order to pick up a load.  Also consider the time it will take to get there

 

Minimum Vehicle Size for Notifications

The minimum vehicle size option allows you to select the smallest size vehicle you wish to receive load notifications for.

The largest vehicle in your fleet (company vehicles and your regular sub-contractor’s vehicle) will determine the maximum size vehicle that will be considered when the system matches loads to members

Enter the Email and or Phone number you want us to send notifications to (Please note that you will only see the options you currently have on the exchange i.e if you currently only receive email, that is the only option that will appear)

 

How load matching works

 When a load has been posted the system will match the load with appropriate members using the following criteria:

If the pickup location falls within your home notification radius and you have the right size vehicle within your fleet or through one of your regular sub-contractors, you will be informed of the load by your preferred notification medium (SMS or email AND the notification bar)

If a tracked driver / regular subbie is within the stated distance (as defined by the poster of the load at the bottom of the post load form) then you will be informed of the load by your preferred notification medium (SMS or email AND the notification bar) 

Notifications based on location of drivers / subbies will state which driver / subbie’s location has generated the match and the notification
